1. Introduction

ColdConvert (“we”, “us”, or “our”) is committed to protecting the privacy of our clients, prospects, and website visitors. This Privacy Policy explains how we collect, use, store, and protect personal information in connection with our services.

By using our website or engaging our services, you agree to the collection and use of information as described in this policy.

2. Information We Collect

We collect information you provide directly to us, such as your name, email address, company name, and any other details you share when booking a call, filling out a form, or communicating with us.

In the course of providing outbound services, we may also process contact data on behalf of our clients, including names, email addresses, LinkedIn profiles, and company information of their target prospects. This data is used solely to execute the agreed campaign scope.

We may collect basic website usage data through standard analytics tools, including pages visited, time spent, and referring sources. This data is aggregated and not linked to individual identities.

3. How We Use Your Information

We use the information we collect to deliver and improve our services, communicate with clients about campaign performance and updates, respond to inquiries and support requests, and send relevant business communications where you have given consent.

We do not sell, rent, or trade personal information to third parties for marketing purposes under any circumstances.

4. Data Processed on Behalf of Clients

When we process prospect data on behalf of our clients as part of outbound campaigns, we act as a data processor. Our clients are responsible for ensuring they have a lawful basis for providing us with that data and for compliance with applicable data protection laws in their jurisdiction.

We process this data only according to client instructions and do not use it for any other purpose. We take reasonable steps to protect the security of all data entrusted to us.

5. Data Retention

We retain client data for as long as necessary to provide our services and meet our legal obligations. Upon termination of a client engagement, we will securely delete or return all client-specific data within 30 days upon written request.

Prospect data processed on behalf of clients is retained only for the duration of the campaign and deleted upon campaign completion or client request.

6. Data Security

We implement reasonable technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction. This includes restricted access controls, secure communication channels, and regular review of our data handling practices.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Third-Party Tools

In delivering our services, we use third-party tools and platforms such as email infrastructure providers, LinkedIn automation tools, CRM systems, and analytics platforms. These tools may process personal data on our behalf and are subject to their own privacy policies.

We only use third-party tools that provide adequate data protection guarantees and we remain responsible for ensuring your data is handled appropriately.

8. Your Rights

Depending on your location, you may have rights regarding your personal data, including the right to access, correct, or delete information we hold about you, the right to object to or restrict processing, and the right to data portability.

To exercise any of these rights, please contact us through the booking page on our website. We will respond to all legitimate requests within 30 days.

9. International Data Transfers

ColdConvert operates internationally and may transfer data across borders. Where data is transferred outside of your home jurisdiction, we take steps to ensure appropriate safeguards are in place in accordance with applicable privacy laws.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “last updated” date at the top of this page. For material changes, we will notify active clients by email. Continued use of our services after changes are posted constitutes your acceptance of the revised policy.
